Mannheimer Insurance Group Migrated Successfully to Alfresco ECM with the Help of WeWebU

Herzogenaurach, 09/14/2012 – WeWebU Software AG, the maker of OpenWorkdesk, and Mannheimer Insurance Group have published detailed information about their joint project. Together they migrated 14 million case and file management documents to the modern Open Source Enterprise Content Management (ECM) platform Alfresco ECM.

The legacy archive system did no longer meet Mannheimer’s demands completely. The cost-intensive maintenance services of the former vendor, that should be stopped before long, as well as the stability of the system were insufficient, the licensing inflexible. The IT department could hardly cover new use cases and thus had to reject more and more requests from the specialist departments. That led to great dissatisfaction – both in the IT department as well as among the users. Hence, Mannheimer Insurance Group sought for an alternative solution. It should provide stability, long-term security of investments, and flexible licensing options. It should be future-proof, effective, and cost-efficient, and raise the acceptance of the ECM system among IT and end users.

At the end of 2010 Mannheimer Insurance Group made the strategic decision to switch to Alfresco ECM. “Using Alfresco exceeds other ECM solutions not only regarding costs, but also according to the range of functions and the benefits for users. We are especially impressed by the transparency that Alfresco provides with its Open Source approach as well as in its licensing model,” states Nobert Koch, Head of IT at Mannheimer.

Already in the beginning of 2012 Mannheimer could turn off the critical legacy system completely – thanks to WeWebU’s migration solution and the competent migration team consisting of specialists from both enterprises. Due to the extensive know-how and the long term experience in the field of input management and migration, WeWebU could not only contribute considerably to the fast success of the project but also to ensuring the continuous operation. 700 of 840 Mannheimer’s employees regularly accessed the documents during the migration. Norbert Koch announces: “As we are convinced of its competence in migrations, we want to employ the WeWebU team to migrate further repositories to Alfresco ECM and thus to further consolidate the existing system environment.”

Rainer Böhm, Head of Decentralized Systems, adds: „Replacing our legacy system with all its problems with a modern, powerful system makes us see totally new fields of use and enables us to create further applications in a much more flexible way in the future.” Currently, Mannheimer is considering using Alfresco-based workflows as well as WeWebU OpenWorkdesk for electronic file management.
