Workshops are primarily designed to drive change, establish or improve problem-solving processes, further develop organizations, and generate innovations or ideas. And whenever possible, all participants should be involved and engaged, because every individual perspective can add value. This participation is what makes a workshop special.

The Advantages of External Facilitators

Workshops are short, focused sessions, usually held within a company. And yet, external facilitators are almost always hired. The advantage lies in their neutral facilitation of the process. In addition, they possess a broad range of methodological expertise, which leads to higher-quality results.

The facilitator is therefore not an expert on the subject matter, but rather an expert in communication. All workshop participants are experts in their own right and should be able to contribute their perspective on the issues. The facilitator also engages those who aren't the usual spokespeople--and it's not uncommon for colleagues to be amazed by the well-thought-out comments from the "quiet ones."

The goal of a workshop is a result that is transparent to everyone and developed collaboratively. The advantage: because everyone has contributed and reached a consensus, everyone stands behind the result. This is in contrast to a "top-down" directive, which is often not truly embraced or accepted.

Can an external facilitator address internal topics?

Yes, they can--provided they are thoroughly briefed by you. The collaboration begins with a scoping meeting, during which the facilitator learns about your goals, the challenges you foresee, and the potential outcomes. No professional facilitator will promise to produce a specific outcome, because every workshop is open-ended. The facilitator is not responsible for the outcome, but rather for ensuring that the group works together toward an outcome.

The Initial Consultation

The facilitation assignment must be achievable. Even during the initial consultation, an experienced facilitator will act as a sparring partner for your ideas. To save time, the group should have decision-making authority. It should have the trust of team leaders and management. When developing ideas, a diverse group has an advantage. The size of the group also plays a role--as does the time allotted for the workshop. There should be no more than 15 people--or the participants should be divided into smaller groups. The scoping meeting also clarifies whether the workshop should be planned to span different levels of the organization. Overall, this is where the foundations for the workshop design are laid, which will later be discussed again with the client.

This is based on a relationship of trust. Without it, the process won't work, because only with transparency can an external facilitator solve an internal challenge. That's why a confidentiality agreement is always part of the process.

Skills of Workshop Facilitators

These vary widely, so it's a good idea to seek advice. Not every facilitator is a good fit for every workshop. In addition to the communication skills they all naturally possess, they have expertise in organizational development, process and project management, design thinking, strategy development, leadership, and change management; and there are specialists for a wide variety of contexts, ranging from citizen participation to digitalization to streamlining administrative processes.
