Point-of-Sale Systems for Hair Salons: Features, Legal Requirements, and Selection Criteria for Salons
From appointment management to payment, modern point-of-sale systems make day-to-day salon operations easier. This article explains the most important criteria for hair salons.Full appointment schedules, spontaneous product sales, and various payment methods are all part of everyday life in hair salons. While customers expect fast service, salon owners must simultaneously keep track of sales, gift certificates, and customer data. This is precisely where choosing the right point-of-sale system determines whether operations run smoothly or end up costing unnecessary time and frustration.
For many businesses, this raises the question: Which features are truly important, and what should you look for when selecting a point-of-sale system? Those who focus solely on price risk facing additional effort in daily operations later on. What matters most is that the solution fits the salon's workflows and provides optimal support for both employees and customers.
Legal requirements regarding point-of-sale management are of particular importance. Electronic point-of-sale systems must comply with the Point-of-Sale Security Ordinance and operate with a Technical Security Device (TSE). In addition, receipts must be issued properly, data must be stored in an unalterable manner, and it must be possible to provide the data in the prescribed format during audits. Anyone who neglects these obligations risks facing complaints during cash register inspections or tax audits.
Gift certificates also pose challenges for many salons. Gift certificates, single-purpose vouchers, and multi-purpose vouchers differ from one another for tax purposes and should be recorded separately in the point-of-sale system accordingly. Accurate recording prevents errors in sales tax calculations and the daily closing process.
Furthermore, data protection plays an important role. Digital customer records containing color formulas, appointment histories, or preferences offer significant added value but must be managed in compliance with the GDPR. Transparent information on data usage and clear processes are essential in this regard.
When selecting a hair salon POS system, business owners should therefore consider more than just the monthly costs. Key factors include a suitable setup, training for the team, the integration of card terminals, and support with reporting and documentation requirements. A professionally set-up system saves time in the long run, reduces errors, and ensures greater security in day-to-day business operations.

PAN Number for Card Payments: Why the Card Number Is Important for Merchants
Card payments have long been part of everyday life in brick-and-mortar retail. As the number of digital transactions rises, so does the importance of technical card data behind the scenes. The so-called PAN--the technical card number for debit, credit, or girocards--plays a central role in this process. It becomes particularly important for merchants when payments need to be verified, incorrect transactions resolved, or chargebacks processed.
The PAN, which stands for "Primary…
NFC Payments in Retail: Why Contactless Payments Are the Standard Today
Contactless payments are now an integral part of modern checkout processes. Customers expect payments to be fast, reliable, and free of long wait times--whether they're using a girocard, credit card, smartphone, or smartwatch. For retailers, this means that NFC-enabled terminals and well-established processes are no longer just an added service, but the standard at the point of sale.
The technology behind contactless payments is called NFC, short for Near Field Communication.…
Card Payment Fees: How Merchants Can Accurately Calculate Their Costs
Today, customers expect to be able to pay by card almost anywhere--from retail stores to restaurants to hair salons. For businesses, therefore, the question is no longer whether to offer card payments, but at what cost. However, this is precisely where misunderstandings often arise. That's because the fees advertised by a payment provider often reflect only a portion of the actual monthly costs.
Businesses that accept card payments generally pay more…
Financing a POS system: When renting or buying is really worth it
Today, the decision between renting or buying a POS system involves far more than just the purchase price. Retailers, restaurateurs, and service providers must consider not only ongoing costs but also legal requirements, update obligations, and the long-term technical reliability of their POS solution. Especially since the stricter requirements surrounding the Technical Security Device (TSE) and reporting obligations, choosing the right model has become a strategic issue.
As a general rule,…
