Financing a POS system: When renting or buying is really worth it
Today, the decision between renting or buying a POS system involves far more than just the purchase price. Retailers, restaurateurs, and service providers must consider not only ongoing costs but also legal requirements, update obligations, and the long-term technical reliability of their POS solution. Especially since the stricter requirements surrounding the Technical Security Device (TSE) and reporting obligations, choosing the right model has become a strategic issue.As a general rule, if you plan to use a POS system long-term at a stable location, purchasing is often more cost-effective. After just two to three years, the break-even point for many systems favors ownership. Rental models, on the other hand, remain attractive primarily for startups, pop-up stores, seasonal businesses, or branch rollouts because they avoid high one-time investments and preserve liquidity.
Typical rental packages often bundle hardware, software licenses, TSE, updates, and hotline support into a single monthly payment. It is precisely this comprehensive support that is crucial for many businesses. With a purchase, however, responsibility for maintenance, security updates, TSE renewal, and compliance often remains with the merchant. Without a suitable service contract, this can quickly become a risk.
Added to this are new legal requirements. Since 2023, electronic point-of-sale systems must be equipped with a certified TSE. In addition, many existing devices must be reported via Mein ELSTER by July 2025. Violations of reporting obligations can result in fines of up to 25,000 euros. This makes a provider's update and service quality a key selection criterion.
Payment trends are also increasing the pressure to modernize at the point of sale. Card payments now dominate large segments of brick-and-mortar retail. Retailers therefore need systems that are not only legally compliant but also remain flexibly scalable and reliably integrate modern payment methods.
Therefore, it is not just the monthly payment or the purchase price that matters, but the total cost over the actual useful life. Factors such as support, on-site service, DATEV export, data sovereignty, and scalability should always be part of the calculation.
