Leadership Begins with Clarity: 8 Communication Traps Every Manager Should Avoid

1. Misunderstanding
Imagine you're a department head and frequently assign tasks involving planning and structure to a specific employee - because you know he's good at it. One day, he loses his temper and complains about always being stuck with the "boring organizing stuff." A misunderstanding has occurred. You assumed he not only excelled at these tasks but also enjoyed them. A short, honest conversation would likely clear things up.
2. Difference of Opinion
Let's say you manage a retail store. One of your employees asks to reduce her working hours by eight hours per week and have Fridays off. You decline the request, believing it would leave the store understaffed. You understand her perspective but follow a different goal. You both view the same situation differently - a classic conflict of interests, not personal disagreement.
3. Opposing Value Systems
We all operate based on our personal values. When another person doesn't share those values, we may perceive them as rude or disrespectful - even when their intent isn't negative. Take, for instance, handshakes: once a standard greeting, it has become a debated gesture since Covid-19. If you're going to work closely with someone, clarify what matters to you and ask what matters to them. Address differences early - before they lead to frustration or conflict.
4. Attribution Error
Attribution is how we explain causes. We often blame circumstances when we make mistakes - but if someone else makes the same mistake, we might assume poor intent or bad character. For example, if you squeeze your towel close to others at the pool, you simply wanted shade. But if someone does it to you, you might see them as rude. We are often quicker to judge others' actions than our own - especially when emotions are involved.
5. Written Communication
Without body language or tone of voice, written messages are prone to misunderstanding. In private messages, well-placed emojis can help soften or clarify tone. In professional emails, it's often better to add one or two extra sentences for clarity than risk confusion.
6. Over-Analyzing Others
Offering unsolicited psychological feedback can feel patronizing. Saying things like, "You have low self-esteem, that's why this keeps happening," is rarely helpful. Rather than analyzing someone's personality, focus on how their actions affect you. Even if you believe you "see through" the person - keep it to yourself unless it concerns specific behavior that directly affects your interaction.
7. Preaching or Lecturing
Phrases like "You need to..." often create resistance. They imply superiority and evoke childhood memories of being corrected. Instead, use softer formulations like, "What do you think about..." or "In a similar situation, this worked for me..." or "Can I offer a suggestion?" A golden approach: skip the judgment and simply ask, "How can I support you?"
8. Blame and Accusations
Saying things like "Because of you..." invites counterattacks and defensiveness. Avoid blaming language and stay focused on the issue or finding a constructive solution.
