4 CrocoTime's Tips For Time Tracker Users
Time Tracking is Getting PaidSometimes you’d been working on a single task and suddenly the phone rings. An important client had come up with a list of suggestions for improvement on a project. And since the client made many notes, the call had lasted half an hour. After that you had to start by carefully noting down all the points raised, and it took 10 to 15 more minutes before you got back to your first task. You went on working, with one or two breaks during the day. In the evening you went home and wondered: what I really did that day? Hmm, no idea. I couldn’t remember, there was so much going on.
You should have remembered these interruptions, that are a part and parcel of the work day, and when they don’t get tracked they cannot then be billed to a customer.
More Transparency
There is a big variety of fields of responsibility in every office. An engineer working in the field probably wonders what the office-based managers do all day, and "white collar" in the office cannot realize what the worker on the shop floor does. If, in addition to working time, the time actually devoted to tasks, clients and so on is tracked, work is made much more transparent. It’s not a matter of ‘only’ working 8 hours: in those 8 hours in the office, one manager has prepared quotations for 3 customers, spoken to customers 5 times on the phone, drawn up a new budget plan for the marketing department, and spent 2 hours preparing the accounts for May.
Not only transparent tracking of work is necessary within a company, but work time should also be made clear to the clients. For instance: our company has been given a contract by a customer. The project for this customer was planned with a fixed price. We renovate their rooms and one month is planned for the roof. But look: the month was over and the roof hadn’t been finished. We overspent the planned time because the client had more requests and delayed the renovation of the roof. If time is constantly tracked, a manager is able to show the customer why there was a delay with the roof project and discuss additional costs.
Good Task Management
How often do you find yourself in a situation when you decide to do a smaller task along with your main task thinking that it will not take time and not a big deal. But it happens that you’d underestimated that "simple" task and spent much more time than you wanted. If you track work time with an automatic time tracker, you always have an overview of the actual time spent and can therefore get much better at estimating the time needed for every single task in the future.
Having time to complete a project or a task successfully is also an important measure for quality of work (and life, we think). If you never have enough time for anything, whether at work or in private, you are a subject to a lot of stress.
Optimizing Your Work
If your employees are often interrupted while working, they get to the end of the day having worked productively for a shorter time at a stretch. Let’s think you entrust a specific task to one of your employees. To start with, he will have to spend at least 10 mins to familiarize himself with the new task. But if he can only spend 20 minutes on it, because he was interrupted by a phone call from a client, it only leaves 5 minutes for him to really work productively on that task. With CrocoTime time tracker you can determine such interruptions exactly and thus optimize workflow for every single employee in your office.
The Final (Not So) Secret Tip
Accurate time tracking is a great measure of quality in your business. Both companies and clients benefit from it: clients know exactly what they pay for, and a company gets paid for the services it provides. The client should therefore be made aware of the use of the professional time tracker as a measure of quality of your company.
It is definitely worth it to track your time. As the vendor of the time tracking solution CrocoTime we are of course in favor of time tracking, but what about you? Start our 14-days free trial now and find your own way.
