The last guest has left--but their data is still there

Berlin, September 15, 2026 - The event is over, the last guests have left, the catering crew is packing up, and the organizing team is starting the follow-up work. What's easy to overlook in the process: The participant data is still there.
It's stored in the event software, in exported lists, at check-in, possibly with external service providers, or already in the CRM system. And this is exactly where it becomes clear just how well an event process is actually organized.

Participant data accompanies the entire event

The processing of personal data begins as soon as registration takes place. In addition to names and contact information, other details are collected depending on the event: workshop selections, meal preferences, accompanying guests, or special requests.

More data is generated during the event. Who actually attended? Who was checked in? Which program items were booked? Are there any photos or videos?

Data is often still needed even after the event--for evaluations, follow-ups, or further communication with participants.
That's why the question of what happens to this data shouldn't be asked only after the event.

When Data Is Scattered Across Multiple Locations

In practice, multiple data sets quickly accumulate during the planning process. One participant list is shared with the catering service, another is used for check-in, and yet another is exported for badge printing. External service providers also require information, and individual files are stored on local computers.
As long as the event is underway, this often works without any problems. Afterward, it becomes more difficult to keep track of everything.

Which file is still up to date? Who has access to it? What data is held by service providers? What information must be deleted, and what can remain stored?
The more copies that are created, the more time-consuming the follow-up work becomes.

Not all data needs to be deleted immediately

GDPR-compliant event management does not mean removing all information immediately after the event ends.
The key factors are the purpose for which the data was collected and how long it is needed for that purpose. Some information must still be retained for organizational purposes, while other data may need to be kept for legal or contractual reasons. Different requirements apply for subsequent marketing communications.

It therefore makes sense to determine before the event which data is needed, who is authorized to access it, how long it will be stored, and when it should be deleted or anonymized. External service providers and data exports should also be taken into account.

Centralized Data Management Provides Clarity

A seamless attendee management system can significantly simplify these processes. When data is managed centrally, it does not need to be re-exported and redistributed for every step of the process. Changes remain traceable, access rights can be controlled more clearly, and follow-up tasks are performed using a unified data foundation.
