PAN Number for Card Payments: Why the Card Number Is Important for Merchants

Card payments have long been part of everyday life in brick-and-mortar retail. As the number of digital transactions rises, so does the importance of technical card data behind the scenes. The so-called PAN--the technical card number for debit, credit, or girocards--plays a central role in this process. It becomes particularly important for merchants when payments need to be verified, incorrect transactions resolved, or chargebacks processed.

The PAN, which stands for "Primary Account Number," identifies both the card issuer and the associated card account. It is read by the terminal so that payment networks and banks can process the transaction correctly. The PAN is often confused with the IBAN, account number, or PIN. In fact, however, it is exclusively the technical identifier of the payment card itself.

In a merchant's day-to-day operations, the PAN appears in various places--such as on merchant receipts, in terminal journals, reports, or support logs. This is precisely why data protection plays a central role. Today, customer receipts usually display the card number only in a masked or truncated form. In reports and POS logs as well, only the last few digits should remain visible, unless there is a legitimate business need to display the full number.

The PAN becomes particularly important in the event of complaints or possible duplicate charges. Merchants should then systematically check receipts, POS journals, and transaction data. If the amount, time, terminal, or authorization do not match, the incident must be documented and, if necessary, reported to the payment service provider. A clear procedure helps prevent chargebacks and reduce disputes with customers.

In addition, security measures such as tokenization are gaining importance in brick-and-mortar retail. In this process, the actual card number is replaced by a technical substitute. This reduces risks associated with handling sensitive payment data while also simplifying compliance requirements related to data protection.

For merchants, it is therefore becoming increasingly important to classify card data correctly, display only necessary information, and professionally set up processes for handling incorrect transactions.
