Singapore, 10 November 2025 - SearchMaid, Singapore's most popular domestic helper portal, has launched an industry-first innovation that is transforming how maid agencies manage their day-to-day operations. The new Mass Upload Tool lets agencies upload entire batches of helper biodata in minutes, replacing the slow and error-prone process of manual data entry.

The response has been overwhelming, with up to 90 percent of paid agencies adopting the feature since its rollout earlier this year.

"For years, agencies have been working long hours doing repetitive data entry," said Ray Tay, Business Development Manager of SearchMaid. "It is boring, time-consuming, and it does not grow the business. We built this tool to help them save time and focus on what really matters, which is marketing, client service, and relationship building."

Built for Real-World Agency Needs

The system, powered by SearchMaid's proprietary AI engine, allows agencies to batch upload biodata in multiple formats such as PDF, Word, and Excel. What used to take about 10 minutes per helper can now be done in seconds.
One agency owner even told Ray he wished he had known about it earlier.

"He scolded me, jokingly," Ray recalled. "He had just hired a virtual assistant in the Philippines for $400 a month to do data entry, and one week later we showed him this tool. That was when I knew we had built something really useful."

Nine Months of Trial, Error, and Learning

SearchMaid spent nine months refining the system with help from an external AI developer. Weekly calls and constant testing helped make the software more robust, accurate, and compliant with MOM guidelines.

"We got tons of complaints in the early days," Ray admitted. "The AI cropped logos instead of faces. Sometimes it cropped the neck. It misread checkboxes, could not understand tables, and mixed up languages. It was a facepalm moment."
The team pushed through, training the AI to handle multiple languages and formats. Now, the system can even correct mistakes like 'Jarkarta' to 'Indonesia' and translate Malay biodata into English automatically.

"It is not perfect, but it has become strong and flexible," Ray said. "We had to make sure accuracy was there, because if data is wrong, agencies get into trouble. Compliance is non-negotiable."

Affordable and Practical for Agencies

The Mass Upload Tool is offered as an optional add-on package, competitively priced to deliver value. Instead of hiring extra staff for data entry, which Ray calls low-value and high-fatigue work, agencies can now automate the entire process.

"Hiring a data entry person just to key in biodata is not a good use of time or money," Ray said. "We would rather see our agencies spend that time on marketing, serving employers better, and building word-of-mouth trust. This industry runs on relationships."
