Preparing quality management for the revision of ISO 9001

While the revision of ISO 9001 is still a long way off until 2026, companies should include climate influences and their consequences in their quality management now. After all, periods of heat or other extreme weather conditions do not wait for the legal framework to change and for companies to react accordingly. They are already happening today. The earlier and more proactively companies act, the sooner risks are identified and measures are taken that not only offer protection but also reveal optimization potential.

Interrupted supply chains, increasing energy requirements or even production stoppages due to unforeseeable political events or increased wear and tear due to extreme weather conditions - if companies want to ensure the quality of their production processes in today's world, they need to create a framework that enables sustainable planning and process optimization. One example is quality management: if companies already work in accordance with DIN EN ISO 9001:2015, they now have additional homework to complete.
Climate influences become part of the new ISO 9001
Although the new revision of ISO 9001 is likely to be delayed until 2026, the committee responsible for it announced in the spring of this year that greater emphasis will be placed on climate change with all its effects and risks in the future. As periods of heat or severe flooding, for example, are becoming more frequent, companies need to prepare for their consequences today. Management systems as well as quality management systems must therefore immediately integrate valid amendments (AMD 1:2024-02) into the Harmonized Structure (HS), which assess the extent to which their own company is affected by CO2 requirements, for example, or what effects there are on the product and service portfolio. Conclusions should then be drawn, risks identified and measures taken to improve recycling options, systematically reduce energy consumption or adapt their vehicle fleet, for example.
The use of intelligent solutions is helpful in developing the necessary measures for your own business. This is because software programs help to monitor inspections, carry out maintenance on technical equipment, electrical devices and machines or carry out repairs. For example, maintenance software records all work areas with the associated work and operating equipment, stores all test specifications and links them to a calendar. In this way, the tool guides its users step by step through inspection deadline management and reliably reminds them when the next maintenance appointment is due. At the same time, it provides an overview of all activities, enables preparations and planning and maps the entire documentation.
Simpler inspection deadline management to protect against external influences
As the focus of ISO 9001 is shifting with regard to climatic influences and their consequences, inspection deadline management is also likely to be affected by the adjustments. This is because employers are responsible for the safety of machines, systems and components in their companies. To ensure this, software tools help to comply with the legal framework: For example, before a new machine can be put into operation, it must be CE marked, which identifies the new device as legally compliant with EU requirements and the basic health and safety requirements in order to meet the European Machinery Directive 2006/42/EC. Or periodic inspections of machines and systems must take place, which must be documented and stored in accordance with the German Ordinance on Industrial Safety and Health (BetrSichV). These periodic inspections in particular help to prepare work equipment for external influences and changes that could potentially cause damage and thus endanger employees. It is important to note that these periodic inspections may only be carried out by so-called "competent persons". For example, the testing of electrical machines in accordance with DIN VDE 0113-1 (EN 60204-1) requires a qualified electrician who is authorized in accordance with the Technical Rules for Operational Safety (TRBS 1203), a component of DGUV Regulation 3.
From cost expenditure to added value factor
Complying with the legal framework is one thing. But ensuring that employees are protected and production operations run smoothly is another. By complying with all inspection regulations in a timely manner, all machines and systems used in the company are regularly inspected and thus maintained. At the same time, the inspections help to assess the actual condition of the equipment, determine the causes of wear and tear and possibly reduce or even eliminate them. Any necessary repairs also contribute to optimized functional reliability. For example, if production systems are serviced regularly, fewer devices break down. On the one hand, this increases the service life of the production equipment (no new equipment has to be purchased) and on the other hand, there are fewer breakdowns. Fewer breakdowns in turn enable delivery deadlines to be met, which in turn protects companies from the threat of lost sales. In this way, the original cost of maintenance in itself becomes a value-adding factor, as the company's inventory is handled sustainably and products are delivered on time.
Permanent monitoring of all maintenance measures using maintenance software such as Hoppe's maintenance planner not only ensures smooth production operations and prevents breakdowns, but also opens up optimization potential. For example, adjustments can be made due to supply chain delays or protective measures can be planned for upcoming extreme weather conditions, such as larger water reservoirs for periods of heat - measures that are already required in relation to quality management in the amendments of the ISO committee and, from 2026, also in the new version of ISO 9001, in order to specifically take into account the issues of energy efficiency and climate change and open up cost optimization potential.

If companies consider climate issues in their quality management now, and not just in 2026 for the revision of ISO 9001, they are not only acting more responsibly towards their staff, their own resources and their customers, but are also preparing themselves for upcoming foreseeable and unforeseeable tasks. At the same time, maintenance software helps to identify optimization potential and to implement and plan maintenance efficiently, legally compliant and on time. The simpler handling of inspection deadline management also ensures greater transparency and safety. In this way, maintenance is transformed from a cost factor into a value-adding factor.
