Brandon, MB- March 13, 2023: Although you can merge two different files if your desire, in bank account cases the merge facility is there, the reverse is not possible. To merge QuickBooks Company Files, you need third-party software if the feature is not built in, which is the case most of the time.
There will be many instances where you might want to combine two QuickBooks company files into a single file. Combining data from different company files in one report makes your business accounting operation more effective as it reduces time and effort and lastly costs. This involves balance sheets, profit and loss, generating reports, copy transactions, etc. There are manifold ways to use the QuickBooks merge company files feature.
While merging two accounts in QuickBooks, the accounts they are being moved to should be the same parent or sublevel. For instance, if an account is a parent and another one is in a sub-account or sublevel, the two accounts cannot be merged until the account positions are changed to match.
Accounts can only be merged when they have the same name, type, and same grade level. Accounts cannot be merged if spellings are different from each other, have different account numbers or do not have the same level. It is also important to remember that the account needs to be in multi-user mode and not in single-user mode when merging company files.
QuickBooks Repair Pro's file merge service concentrates on merging lists -including Chart of Accounts, Customers, Vendors, Employees, Items, and Other Names, merging transactions -including all financial transactions, as well as add classes to all transactions in each company file which can be used for reporting purposes.
Data files with negative inventory and assembly builds do not merge correctly because there is insufficient quantity on hand to build the assemblies and they transfer over as pending builds. Customer notes and to-do lists are also not included in the merge.
