In the town of York, ME, officials selected Treeno Software's ECM solution after struggling with two other document management systems users claimed were too complicated, unreliable or slow. After a selection process that included three other vendors, officials selected Treeno Software for its ease of deployment and operational speed.

York is currently running the platform to provide online access to a variety of documents related to zoning and real estate in the Eastern Maine town, including deeds, surveys, subdivision plans, building permits and building plans – "anything that relates back to a person's parcel," according to town GIS manager Brett Horr.

"By having these documents online, it saves people a trip to town hall - we've reduced traffic in town hall by 75 percent - which makes the people of York happier," added Horr.

In Dover, officials are using the Treeno platform to plan and record town meetings and other events, offering the general public the ability to view the records, minutes and other documents related to town business, and even providing access to audio files of certain events. The system also allows board members to collaborate on meeting agendas, without having to pick up the phone or walk down the hall. The town's next project will be installing the city's real estate and property records in the system.

Aside from offering the community greater access and insight into the ongoing activities of city government, the platform has cut down on paper usage for both communities, providing an environmental benefit. The system has also eased some of the general logistics of running a municipality.

Annie Dove, the Director of Information Technology for the City of Dover said, "The police department was able to clean out an entire records closet because of this application, and they are pretty tight on space, so that was a huge plus."

Both municipalities are also using the system to digitize archived documents, some going as far back as the early 1900s.
