Shelf inspection and shelf control with Hoppe Wartungsplaner Software
Practical software for warehouse safetyhttps://www.Wartungsplaner.de
Shelving in the warehouse is one of a company's operating resources and must be checked regularly.
No matter how well organized a warehouse is, damage cannot be completely ruled out. Damage to warehouse equipment, such as racking, is a frequent occurrence, particularly due to handling equipment, and in rare cases, more serious accidents can occur, often involving personal injury. In such cases, it is very important to have appropriate damage control procedures in place and to be able to provide evidence of regular checks and inspections of the storage equipment.
If the trade supervisory authority or the employers' liability insurance association suddenly appears unannounced at the company door for inspections, it is usually too late for hectic actionism. If, on the other hand, you have carried out and documented all inspections of the racking equipment properly and in good time, you are generally on the safe side.

Companies can prevent this by using maintenance planner software. The software reminds you when shelf inspections are due and provides reliable and audit-proof documentation.
Fixed racking systems in the warehouse are part of a company's operating equipment and must be checked regularly for wear or damage. Damage to the frame construction of the racking can be caused by collisions with forklift trucks, for example, and make the racking support system unstable. This naturally also creates a high risk of an accident at work.
Which tasks are the responsibility of the warehouse operator?
In principle, the safety officer is responsible for the safety of employees working in the warehouse facilities. He is also responsible for the safe operating condition of the warehouse facilities and must have regular checks and inspections carried out for this purpose. Risk and hazard analyses must also be carried out.
The warehouse checks must of course be carried out and documented properly. For this purpose, it is necessary that those responsible know the equipment or racking in detail. DIN EN 15635 distinguishes between different types of racking and their individual specifications.
Using suitable maintenance software, various sub-categories can be created to make the inspection clearer. For example, the group of fixed racks includes cantilever racks, shelving racks and multi-storey racks. Another category could manage mobile racking such as dynamic storage systems. Furthermore, flow racks, honeycomb racks and cable drum racks belong to the category of other storage equipment.
What rules must the warehouse operator observe?
The racking constructions must be inspected regularly. A clear categorization by the Wartungsplaner Software helps here. Standardized checklists for maintenance planning are also very helpful. This makes regular inspections much easier. Of course, this is not enough to meet the requirements and regulations of the standard and thus ensure the safety of all employees. With so much equipment in a company, it is impossible to keep track of all deadlines and regulations without appropriate maintenance software.
First and foremost, it is important that warning notices are attached to all racking to inform employees about the permissible load. In addition, employee training ensures that these warnings are handled correctly. Any accidental or other damage must be reported immediately by the employee to the safety officer. This procedure must also be clearly displayed in the company so that the employee knows who to contact in this particular case.
The safety officer must ensure that visual inspections are carried out on a weekly basis and that a corresponding report is prepared and kept. His task is the weekly visual inspection. The European standard DIN EN 15635 specifies how to proceed with damage inspections. This also includes the assessment of damage to supports and bracing elements as well as a categorization into corresponding hazard levels.
Depending on the risk level, damaged components must either be monitored, replaced within a certain time frame or replaced immediately. In any case, damage or defects must be documented in writing in an inspection report. However, it is no longer appropriate to prepare the report on a sheet of paper and then file it in a folder. Nowadays, transparency and efficiency are the process guidelines of modern companies.
Ready for the annual inspection of your racking systems?
At intervals of no more than 12 months, the DIN EN 15635 standard prescribes an expert inspection, which must be carried out by a competent person. The company can also use external inspectors for this or employ its own trained staff. For this purpose, there are training opportunities to become an "Association-certified racking inspector" offered by the "Association for Storage Technology and Factory Equipment".
The racking inspector checks the racking systems annually for safety and is well informed about the prescribed inspection obligations. In addition, he will routinely check the written reports on the weekly visual inspections as well as the stickers and warning notices. This also includes checking the load-bearing structures, the beam safety devices and the loads. Tips for improving the storage system and infrastructure are of course also included and round off his job profile. If such routines are firmly anchored in the company, nobody needs to worry about an unannounced official inspection.
To support this, the shelf inspector program in the maintenance planner creates a list of shelf inspections, shelf checks and shelf inspections. Systematic and regular inspections of the storage equipment are then carried out on this basis. Reminders of upcoming inspection dates and inspection reports are also integrated into the maintenance planner. Ultimately, this serves to ensure occupational safety and thus minimize accidents caused by damaged racking.
A racking inspection with the mobile app makes checking child's play
The racking inspector is fully supported by the maintenance planner when introducing an operational inspection and documentation system for racking. The mobile app for iPhone or Android makes inspection even easier. The inspection logs can be completed by the safety officer directly in front of the storage system using a smartphone. The data can then be easily imported and exported via email or Dropbox. The "Occupational health and safety inspections" app can also be used to quickly document defects with a photo and attach them to the inspection report. The app significantly simplifies the inspection of storage technology and speeds up the professional documentation of the inspection, maintenance, repair and risk assessment of shelving systems in accordance with DIN EN 15635.
Conclusion
The main aim of regular inspections of racking systems and storage equipment is to increase occupational safety and prevent serious damage and excessive repair costs at an early stage. Ultimately, this also helps to save costs and significantly reduce maintenance and repair costs.
The maintenance planner is an important tool for your warehouse safety practice software and keeps those responsible up to date at all times. This means you will never miss an important shelf inspection or maintenance.
