(openPR) - The objective of the project was to migrate the 120,000 microfilm jackets (holding approximately 4 million document images) into the bank's existing optical archive via a digital media (DVD).

Several service providers were contacted regarding the possibility of digitising the microfilm jackets and invited to tender. A corresponding catalogue of requirements for the project was compiled on the part of the bank, which specified what was required of the applicants. After conducting several tests the decision for implementing the final project was awarded to DRS Digitale Repro-Systeme GmbH in Oberhausen.
Important criteria specified in this catalogue of requirements included the optical quality of the digitised jackets and the service provider's reliability and adherence to delivery dates. Naturally the realisation of the project was also required to be a fair price in line with the market.
The organisational element of the project was represented by the prompt turnaround of the approximately 40 delivery units sent for digitisation. In the event of urgent enquiries an exchange of jackets and documents between service provider and bank had to be guaranteed within a few hours.
In practice the project was realised as follows:
the microfilm jackets were counted in the goods receiving department of DRS and defective jackets were separated for manual processing.
The jackets turned out to be very challenging due to the fact that some of the documents requiring digitisation were several years old, which resulted in the quality of the documents on a jacket being somewhat varied.
After digitisation the jackets were automatically indexed with customer numbers. The documents stored on the jackets were summarised into categories, filed in corresponding directories and delivered on DVD to Sparda Bank Südwest eG for integration into its existing optical archive.
